This Member Service position provides a wide variety of services and information to our members and the public. Applicants must have a minimum of two years office experience, excellent telephone skills including reception, data entry experience, the ability to multi-task under tight deadlines, superior interpersonal / organizational skills, and a working knowledge of MS Office (specifically Word and Excel). (see Job Description below)
Compensation is based on a starting salary of $30,000 per year (35 hour work week, 8:30am-4:30pm Mon-Fri) including an excellent benefits package (after completion of probation period). This is a full-time position.

Job Description -- Member Service Representative
GENERAL DESCRIPTION
This position works with the Team Leader - MSR Group and the fellow MSRs and is responsible for a wide range of services to Board members and the public including reception, listings processing, KeyBox system, receiving visitors and handling of incoming mail/courier. The position reports to the Manager, Operations and Member Service.
DUTIES AND RESPONSIBILITIES
General
- Shares responsibility for reception of Board members and members of the public
- Answers a multi-line switchboard of general inquiries and questions or refers them to the appropriate individuals
- Phone support for members (photo problems and inquiries, software support for MLS® software, error message assistance, classes and seminar information)
- Processes New Membership Applications
- Assists members with the purchase of Board forms and supplies, processing payments (Visa, MasterCard, cash and cheques)
- Prepares the VREB Classifieds, VREB Announcements, and the Front Notice Board
- Provides clerical support as required
- Sorts and distributes incoming mail and courier
- Performs other related duties as required
- Types up Deposit for the Accounting Department
- Assists with re-directing of interoffice courier
- Maintains current records of fax transmission reports
- Keep front reception area clean, tidy and the written material current
Keybox System Administration
- Issues Supra product to our members (keys, boxes and supplies)
- Assign inventory in the KeyBox System
- Assist members with problems related to the Supra products
- Keep members Supra paperwork organized and filed
- Setting up the programming of our members’ keys for access to other Boards
- Process weekly balancing of paperwork and inventory
- Process the deposit for Supra and mail to the bank
- Ensuring the deposit for Supra is correct and mailing it to the bank
- Checking, organizing and mailing Supra paperwork to Supra
- Balance iBoxes with accounting monthly
- Troubleshoot with Supra support line
- Maintain Supra products:
- keep track of inventory levels
- ensure Supra packages are up to date and a good supply
- ample supply of forms and form packages
- keep keys charged
Listings And Integrity Reports
- Data input of listings (paperless)
- Enter change order forms, sales, and open houses
- Organize change order forms and sales electronically
- Integrity reports, late fine mail outs, and personal promotion fine mail outs
- Process Common Marketing Area reports, listings, sales and changes
- Process Spirit of Cooperation listings, sales and changes
